General Information

How will I access my account for the first time?

All Members should have received an email on 2/23 with detailed instructions to login to the new Member Portal for the first time. 

If you did not receive this email, please follow the instructions below:

  • Visit https://staffordhills.clubautomation.com/
  • The first time you login you’ll need to create your account.
    • Click on the lower left button: Access My Account
    • It will ask you for your name and email (Use the email address you have on file at SHC)
    • An email will be sent to you with your login details

How do I download the Member App?

A new SHC App will be available to you shortly and will offer the very same features of the Member Portal.

In the meantime, make sure to delete the old SHC App and stay tuned for more information to come in the next few days.

How do I change my Username and/or Password

During your initial setup you will assign your email address as your username and choose a password.  After the initial set up, if you wish to change your Username and/or Password, please call or visit the Front Desk.

 

Will my Scan Card still work to gain access to the club?

Yes. Once the new App is available to be downloaded you will be able to scan into the club as well!

How is my private information protected?

Club Automation fully adheres to the PCI DSS (Data Security Standards) that are put forth by the PCI SSC and has been certified by a third party.

How do I view my statement online?
  • Login to your Online Member Portal or Open your App.
  • Click on View Statement from the Menu of Options
  • View the current month’s statement automatically or view a previous month by clicking on the Monthly Dropdown Button on the right side of your screen.
Where can I view my Private Training, Swim Lesson and Program Registration Transfer Over?
  • Login to your Online Member Portal 
  • Click on Packages from the Menu of Options
    • You may not see your packages right away after the software change. Don’t be alarmed as it could take a couple of days to complete all our package transfers.
Will my billing and/or credit card information transfer over?

Yes your billing and/or credit card information will be transferred automatically

How can I update my payment method online?

To update your payment method online, please email accounting@staffordhills.com OR fill out the following form: Payment Change Form

How do I pay my bill online?

Monthly Statements will continue to be automatically drafted on the 3rd of every month from your billing/credit card on file. 

If you wish to pay your bill before the automatic drafts, follow the instructions below:

  • Login to your Online Member Portal or Open your App
  • Click on Pay My Bill from the Menu of Options
  • Complete the payment information form

Aquatics

Will the Aquatic Reservation rules change?

Reservation rules won’t change with the software transition. You can find our Aquatic Reservation details HERE

How do I make a lap lane reservation?
  • From the Member Portal, click on Reservations from the Menu of Options
  • What Service: Choose “Swimming”
  • Where: Choose a specific lane if you have a preference or Any Lanes to see all lane options
  • Who Will Host: Choose who on your account will be reserving the lane
  • When: Enter the date you’d like to make a reservation
  • Search for available times: You can search for a specific time of day or several hours of the day
  • Click on blue Search button
  • All list of open time slots will populate in blue
  • Click the time you’d like to reserve
  • A Confirm Reservation pop up will open for you to check the specifics of your reservation
  • Click on the blue Confirm button

If you are searching for a lap lane and nothing is showing, you are most likely breaking a booking rule. This could be because

  • you are already booked in another reservation during this time
  • you have reached your usage limits
  • you are searching for a same-day reservation

Please double-check your existing reservations and search criteria before reaching out to us for further assistance.

How do I put myself on a laplane waitlist?

To be added to the waitlist, Click the "Lap Lane Waitlist Link" on the Member Login Portal Homepage under Announcements.

Let us know the date and timeframe you’d like to be on the waitlist for a lap swim time. When a space becomes available, an email will be sent to everyone on the waitlist for that timeframe. If you receive an email, log-in to your Member Portal or SHC App to reserve a lane. Spaces will be filled on a first-come, first-serve basis.

NOTE: Future updates to the software will allow you to add yourself to the waitlist. Date TBD

How do I check what times and lanes I’ve reserved for the week?
  • From the Member Portal or App, click on Reservations from the Menu of Options
  • Your Reservations will be listed at the top of the page

NOTE: You will be able to see all the reservations for everyone on your account

How do I cancel a reservation?
  • From the Member Portal, click on Reservations from the Menu of Options
  • Your Reservations will be listed at the top of the page
  • Find the reservation you’d like to cancel
  • Click on Cancel on the left side of your screen
How do I sign up for Swim Programming? (Tigersharks)
  • From the Member Portal, click on Programs from the Menu of Options
  • Choose Youth Aquatics or Adult Aquatics from the drop down menu of events
  • Click on blue Search Classes
  • Find and click the program name you want to register for or Learn More link
  • Then click the Green Sign Up button.
How do I sign up for Hydrofit or Masters Swim?

Hydrofit and Masters Swim classes fall under the "Group Ex" Category. Follow the instructions below on how to register for a group ex class:

  • From the Member Portal, click on Group Activities from the Menu of Options
  • Scroll through upcoming classes or use the search function to find a specific class
  • Once you’ve found your class, click on the Green Sign Up button
  • A pop up screen will open for you to choose which members on your account would like to register for class. You can just choose yourself or register multiple people at the same time.
  • Click on the members you’d like to register, then click the blue Register button
How do I book a swim lesson?

Please fill out our Swim Lesson Inquiry Form to be matched up with the right instructor. 

If you already been connected with an Instructor, please reach out to them to schedule a swim lesson.

Troubleshooting

If you are searching for a lap lane and nothing is showing, you are most likely breaking a booking rule. This could be because

How do I make a Rec Swim Reservation?

Effective immediately we will no longer require reservations for the rec swim area. Households must maintain at least a 6ft distance.

Tennis

Will court reservations change?

All court reservations will remain in Tennis Bookings for the time being. We will eventually be transitioning to our new software so that all Club programs and services will be in one location. Transition date TBD

How do I register for a Group Tennis Lesson?
  • From the Member Portal, click on Programs from the Menu of Options
  • Choose Youth or Adult Tennis from the drop down menu of events
  • Click on blue Search Classes
  • Click on blue the class you’d like to register for under Program Name
  • Click on Green Sign Up button
How do I register for Tennis Bootcamp?

*Starting March 6th Tennis Bootcamp will require advanced reservations. Registration will open in the early morning, two days in advance.

  • From the Member Portal, click on Group Activities from the Menu of Options
  • Use the drop down function to choose “Adult Tennis”
  • Once you’ve found your class, click on the Green Sign Up button
  • A pop up screen will open for you to choose which members on your account would like to register for class. You can just choose yourself or register multiple people at the same time.
  • Click on the members you’d like to register, then click the blue Register button
Can I see who else in my family is registered for a Program?
  • If you are the Primary Account Holder, you can view the other profiles for everyone on your account
  • Click on the drop down arrow next to your name on the upper left side of your Home Page and choose the profile you’d like to view
  • Classes will be listed under My Events

Group Fitness

How many days in advance can I sign up for class?

Group Fitness classes will open in the early morning, two days in advance

How do I sign up for a Group Fitness Class?
  • From the Member Portal, click on Group Activities from the Menu of Options
  • Scroll through upcoming classes or use the search function to find a specific class
  • Once you’ve found your class, click on the Green Sign Up button
  • A pop up screen will open for you to choose which members on your account would like to register for class. You can just choose yourself or register multiple people at the same time.
  • Click on the members you’d like to register, then click the blue Register button
How do I put myself on the waitlist?

If the class you’d like to register for is full, click on the orange button labeled Waitlist.

  • A pop up screen will open for you to choose which members on your account would like to register for class. You can just choose yourself or register multiple people at the same time.
  • Click on the members you’d like to register, then click the orange waitlist button
How will I know if I got a spot from the waitlist?

If a space opens up in a class, an email will automatically be sent to the first person on the waitlist.

That person will have 30 minutes to respond by confirming they would like the space.

After 30 minutes, an email will be sent to the second person on the waitlist.

How do I cancel a reservation?
  • From your Home Page, you can view upcoming events and registrations
  • Find the correct class or program from the list
  • Click on the Unregister next to the class name
  • A confirmation box will pop up, click the blue Unregister
Late cancel & No show Fees

While we’re getting used to this new system, we will not be charging a Late Cancel or No Show fee. After a few weeks a $10 charge may be processed for Late Cancels or No Shows. Please be sure to cancel out of a class 12 hours in advance or call the Front Desk to be removed from a class.  

Can I see who else in my family is registered for a class?
  • If you are the Primary Account Holder, you can view the other profiles for everyone on your account
  • Click on the drop down arrow next to your name on the upper left side of your Home Page and choose the profile you’d like to view
  • Classes will be listed under My Events
How do I check what classes I’m registered for?

From your Home Page, you can view upcoming events and registrations on the right side of your screen.

How do I register for Pilates Reformer Class?
  • From the Member Portal, click on Programs from the Menu of Options
  • Choose Pilates Reformer from the drop down menu of events
  • Click on blue Search Classes
  • Click on blue Pilates Reformer under Program Name
  • Click on Green Sign Up button
Do I need to continue to make reservations to work out on the Fitness Floor and/or Skybox

Do I need to continue to make reservations to work out on the Fitness Floor and/or Skybox?

  • No, reservations for the fitness floor and Skybox will no longer be necessary starting February 22nd
